A Work Made for Hire Deal Memo is a short-form agreement used in film and television production to quickly and clearly confirm the key terms of engagement between a producer and a crew member. It acts as both a summary of employment terms and a legal acknowledgment that all work produced is owned by the producer from inception, securing intellectual property rights. This document simplifies onboarding for short-term hires or freelance crew, providing clarity around dates, compensation, responsibilities, and rights without requiring a lengthy full agreement.

2. Who is it for?

This document should be used by any production hiring crew or creative personnel who are not contracting through a loan-out company, especially on low- to mid-budget productions or tight timelines.

3. What does it include?

This deal memo includes identification and crediting details for the crew member, defines start and end dates, outlines compensation terms (including box/kit/equipment rentals), and documents any agreed travel, accommodations, and per diem arrangements. The memo asserts that the work is a work made for hire, assigning full rights to the producer, and includes waivers of moral rights and publicity claims. It reinforces at-will employment and makes clear that the producer holds global, perpetual ownership of all results of the crew member’s services.

Project Title / Crewmember / Position – Identifies the production and the person being hired
Contact Information & SSN – Used for payroll and tax purposes
Credit Preference – States how the crewmember wants to be credited (if applicable)
Start and End Dates – Work period for scheduling and payroll
Compensation – Daily, weekly, or fixed fee plus equipment/kit rental rates
Box/Kit/Equipment Clauses – Shifts responsibility to the crew unless loss is producer’s fault
Travel / Per Diem / Other Terms – Additional negotiated benefits or expectations
At-Will Language – Employment can be ended at any time by either party
Work Made for Hire Clause – Declares the work owned by producer from creation
IP Assignment and Moral Rights Waiver – Secures all rights and avoids future disputes

Assignment Rights – Producer may assign contract rights freely

1. This has a link to your account for log in where you can access your product(s).

2. Save this email in a place you can find it to re-use the form. You will need to click on the button each time you generate a form.

3. If instructions are included they will be attached. (Not every product has instructions. Some are self-explanatory.)

4. If you order multiple products you will get multiple emails: One email for each form instruction sheet. Example: 5 products purchased may equal 5 emails

5. To use the form, click "[View Document]". Then log into your account for access to your product. Fill in the blanks of the form.

6. After you fill out the blanks and click the blue "[Finish]" button you can download the document at the three dots menu at the top right of the screen and click "Download PDF."

Email 4: Subject line- "[name of product] Backup Template"

1. This is a backup email to #3. If you click "[View Document]" it will show you a blank template if you have't filled it out. If you have filled it out it will lead to the filled-out document.

2. If you have filed away the "Your Legal Document is Ready" you can delete this email.

If you fill out the template you will receive:

Email 5: Subject line- "Download Template"

1. Click the "[Download PDF]" button to download the final filled-out PDF document. You can forward this to the other party for review or signature.

Re-Using the Form Template:

1. Each use of the template is generated from a blank document from scratch. Your previous entries are not saved.

2. To generate a brand new document go to the "Your Legal Document is Ready" email (or the Backup Template email). Click on the "[View Document]" button to open a new template and repeat the process.

3. NOTE: Changes are not saved in the template so you will have to fill out the template from scratch each time.
